Executive Assistant to a CEO

Smart, confident, organized, straightforward, approachable, discrete, flexible – these are words that describe you. You are used to being involved at the heart of a business and take pride in supporting the Company through an extremely busy, entrepreneurial CEO. This role is as wide as it is deep and you know how to have a firm hand with a soft approach.

You are

  • Empowered to represent the Company in all you do
  • Equally comfortable attending meetings with the CEO you support as you are rolling up your sleeves to help anyone meet a deadline
  • Able to build strong relationships with everyone in the CEO’s life
  • A strong, candid communicator who is proactive, resourceful and strategic
  • Someone who can connect the dots, gather the facts and problem solve
  • Someone who never considers a task beneath them
  • Open and used to a job that is not 9 to 5, Monday to Friday
  • Comfortable in an environment where plans can change rapidly

You will

  • Represent the CEO and Anthem in all that you do
  • Act as the point of contact between the CEO and internal/external stakeholders
  • Work closely alongside the CEO, attending to his business and personal needs, including correspondence, telephone calls, travel, banking and family matters
  • Be a scheduling guru, able to organize the CEO’s day and the multiple scheduling conflicts that arise
  • Take minutes in meetings when needed and follow up on action items
  • Be proactive in offering to provide assistance, advice and help to each team and all team members
  • Understand when authentic, candid communication is appropriate and when a more professional approach is required
  • Assist with setting up off-site meetings, conferences, etc.

You have

  • 10+ years experience in a similar role
  • A passion for learning 
  • A sense of humour and a calm, approachable demeanor
  • Great interpersonal skills
  • Excellent written and verbal communication skills
  • Outstanding organizational and time management skills
  • A University degree (an asset)
  • A clean driver’s license
